Executive Assistant to CMO


You must be currently or recently working as an executive assistant to qualify for this position, with 2-5 years experience!!


Function as Executive Assistant to President/CEO and performing secretarial and executive duties as

assigned. Coordinate general handling of inquiries, complaints and other correspondence directed to CEO. Performs duties related to Board of Trustees and Corporate Membership and Leadership Team. Maintains calendars and coordinates all travel arrangements for recruitment activities and CEO as needed. Coordinates Board functions and Board committee meetings.

Job Specific Responsibilities:
Performs duties related to Board of Trustees and Corporate Membership.
Maintains calendars of board and board committee meetings, prepares and distributes meeting notices, prepares meeting locations and plans menu for meetings.
Prepares "Board Packet" for monthly board meetings. Prepares packets for Holding Company meeting—monthly. Prepares agenda, information packets and power point presentations for meetings—monthly.
Attends Board of Trustee meetings, takes notes and prepares and distributes minutes of the meetings.
Prepares "election statements," "proxy statements," voting ballots and notifications for annual meeting/election.
Makes arrangements for the Annual Planning Session/Board Retreat including selecting a venue, hotel accommodations, meal locations and menus, meeting room, audio-visual
resources and prepares and distributes agenda and handouts.
Maintains corporate Membership Records including membership and eligibility rosters and prepares invoices for contributions due.
Performs general office and secretarial duties including typing, answering telephones, maintaining files and opening daily mail.
Maintains CEOs calendar and provide clerical support to CEO.
Responds to reasonable requests from other members of the administrative and/or secretarial staff for assistance and for Leadership Team. Communicates and responds in a timely manner.
Provides assistance and completes tasks of a non-routine nature as requested by the CEO.
Coordinates travel arrangements for recruitment activities as needed. OSHA RATING: Low

Ability to sustain long periods of sitting with periods of light lifting/handling of office supplies. Ability to handle numerous telephone interruptions. Office environment, Long sitting periods, Numerous telephone interruptions, Contact with public, physicians and other hospital personnel, Ability to travel (as required.)


Education: High School Diploma with relative experience.

Experience: Two to five years administrative secretarial experience. Licenses, Certifications and/or Registrations: None

Eauipment/Tools/Work Aids: Computer, typewriter, calculator, telephone, copy machine, and fax machine.

Specialized Skills: Self motivated with good organizational and communication skills coupled with the ability to professionally manage demanding workload. Ability to type 60 wpm; use computer, calculator, and fax machines along with working knowledge of the following software programs: "Microsoft Word," "Microsoft Outlook" "Excel," "Access," "Visio," and Board Portal.

Must be able to read, write, speak and understand the English language.
2. Must be of good report, responsible, universally discreet, professional in mannerisms and appearance, demonstrate initiative, and function in the best interest of company.
